About the Role
We’re hiring a full-time, fully remote Executive Assistant (EA) to support the Founder & CEO of Muvr.
You’ll serve as the operational backbone of the CEO’s day-to-day work — managing communication, scheduling, follow-ups, and light project coordination to ensure the business runs smoothly and efficiently.
This role is ideal for someone who’s organized, proactive, detail-driven, and thrives in fast-paced, high-accountability environments.
You’ll handle the details so the CEO can stay focused on strategy, growth, and innovation.
Key Responsibilities
Founder Support & Calendar Management
- Manage and optimize the CEO’s calendar, meetings, and commitments across time zones.
- Prioritize, reschedule, and protect strategic focus time.
- Prepare meeting agendas, notes, and follow-ups.
- Anticipate conflicts and resolve them proactively.
Communication & Coordination
- Monitor and organize the CEO’s inbox, Slack, and messages; flag priorities and draft responses as needed.
- Act as a communication bridge between the CEO, Chief of Staff, and internal teams.
- Ensure instructions and updates are delivered clearly, on time, and followed through.
- Manage light correspondence with partners, investors, and external stakeholders.
Administrative & Operational Support
- Maintain files, documents, and trackers in Google Drive.
- Handle light data entry and updates in ClickUp or CRM systems.
- Support onboarding logistics for new hires (scheduling, materials, access).
- Assist with reports, presentations, and internal documentation.
- Coordinate travel arrangements (flights, hotels, logistics) when needed.
Task & Follow-Up Management
- Track open action items, deadlines, and cross-department deliverables.
- Maintain a live “Executive Dashboard” summarizing key projects and meetings.
- Send daily or weekly summaries highlighting priorities, decisions, and progress.
Qualifications
- Proven experience as an Executive Assistant, Operations Coordinator, or Virtual Assistant supporting senior leadership or founders.
- Exceptionally organized and detail-oriented; thrives in structured, fast-moving environments.
- Excellent written and verbal English communication skills.
- Strong time management and prioritization skills.
- Proactive, resourceful, and anticipates needs before they arise.
- Highly tech-savvy with tools like ClickUp, Google Workspace, Slack, Notion, and AI platforms (ChatGPT, Notion AI, etc.).
- Discreet and professional with confidential information.
- Self-starter who works independently while maintaining strong communication.
